Who we are

OrbitEdu (orbitedu.in) is a product of OS Technologies, 1-64, Main Road, Block 2, Sangareddy District, Atnur, Telangana 502251, India (“we”, “us”). This policy explains what personal data we handle when you visit our website or use OrbitEdu, and how we protect it in line with India’s Digital Personal Data Protection Act, 2023.

Our role

Coaching and tuition centres (“institutions”) use OrbitEdu to manage their students. For student and parent data that an institution enters or receives through OrbitEdu, the institution decides why and how the data is used, and we process it only on the institution’s instructions. For the accounts of institution owners and staff, and for visitors to our website, we decide how the data is used.

Data we handle

  • Account data: names, phone numbers, email addresses and business details of institution owners and staff.
  • Student and parent data entered by institutions: student names, batches or classes, parent names and phone numbers, fees due and paid, attendance, marks and notices.
  • Payment records: payment screenshots and details such as amount, date and UPI transaction reference, shared by parents or uploaded by institutions so a fee can be recorded. We do not collect card numbers, bank passwords or UPI PINs, and we never receive the money itself.
  • WhatsApp messages: messages exchanged between an institution and parents through the institution’s own WhatsApp Business number connected to OrbitEdu.
  • Technical data: device and browser type, log records and similar data needed to run the service securely. We use only essential cookies.

How we use it

  • To provide OrbitEdu: records, reminders, receipts, attendance alerts and reports.
  • To send WhatsApp messages and answer parents’ questions on behalf of the institution.
  • To keep accounts secure, prevent fraud and fix problems.
  • To bill institutions for their subscription and to meet legal obligations.

We do not sell personal data, and we do not use it for advertising.

Children’s data

Many students are under 18. Institutions are responsible for obtaining verifiable consent from a parent or guardian before entering a child’s data. We do not track children, build profiles of them or show them advertising, and we use their data only to provide the service to their institution.

Who we share it with

We share data only with service providers that help us run OrbitEdu, under contract:

  • Cloud hosting and database providers, with data stored in India.
  • Meta, through the official WhatsApp Business Platform, to deliver WhatsApp messages.
  • AI service providers, to read payment screenshots and draft answers. We send only the minimum data needed and do not allow it to be used to train their models.
  • Payment processors, only for institutions paying their OrbitEdu subscription.

We may also disclose data when required by law or a valid order from a government authority.

Security and storage

Each institution’s data is kept separate from every other institution’s. Data is encrypted in transit and at rest, access is limited to people who need it, and every change to money records is logged. Our staff access an institution’s data only with the owner’s permission, for a limited time.

How long we keep it

We keep data while an institution’s account is active. If an institution closes its account, we delete its data within 90 days, except records we must keep longer by law, such as billing records. Institutions can export their data at any time.

Your rights

You can ask to access, correct or erase your personal data, withdraw consent, or nominate someone to exercise these rights for you. If you are a parent or student, please contact your institution first, because it controls your data; we will help it respond. You can also write to us directly.

Grievances

For any concern about your data, contact our Grievance Officer at hello@orbitedu.in or +91 93915 41984. We will acknowledge your request within 48 hours and resolve it within 30 days. If you are not satisfied, you may approach the Data Protection Board of India.

Changes to this policy

If we change this policy, we will update the date at the top and tell institutions about significant changes before they take effect.
